Executive Summary

The audio-visual unit has a long-term vision under the concept of « Content Management Platform »

that aims to embrace transformation projects during the coming years to replace old systems and to

upgrade the systems landscape into software based intelligent layer bringing forward business

processes management, automation and metadata exchange.

This project is one of the first steps to establish this vision, and therefore aims to acquire a MAM

solution for the archive and an orchestration layer, and to study and build step-by-step new

workflows connecting the sectors and their different applications.

The audio-visual unit describes in this document and its annexes functional and technical

requirements for MAM solution, data migration concept and orchestration solution.

These new solutions must consider the current system landscape and network considerations and

align with the deployment recommendations of the audio-visual unit.

The audio-visual unit would like to use this project to introduce within its operations workflow

improvements. For this reason, in the first place, the audiovisual unit describes stakeholder use cases

that explain through the media chain from planning to distribution how users execute their tasks

today. The aim is to identify the involved sectors, users and applications but especially to show issues

and help 3rd party detect room of improvement. The audio-visual unit has done an initial study and

described in a second step the aspects to be improved for each use case to help identify needed

workflow configuration and needed interfaces.

The project will be implemented in many steps. First, the audiovisual unit would like to acquire the

solutions and be provided with the required services to install them. In a second step, workflows to

be configured and interfaces to be developed if needed will be studied. Packages will be identified for

future implementation, and based on business priorities, packages will be chosen as candidates for

the next implementation. This process will be iterative and repetitive until audiovisual unit reaches

the full scope of the improvements.

Project Scope

The first steps that AV Unit would like to achieve is:

 to replace the end-of-life system in the Media Library, which is the Asset Management for the

archive, and

 to introduce an Orchestration layer to facilitate file movement, metadata exchange and,

eventually, user tasks management.

 In a later stage, the AV Unit plans workflows configuration and integrations with the existing

systems and with the new MAM.

1. Acquisition of a MAM for Archive to replace the legacy Insight from Imagine

The asset management of the Archive is end of life and based on old technology. Despite the upgrades

that have been carried out through the years, the operations on the application are a real hurdle for

the media library users as it is non-intuitive and an aging system that is less and less reliable.

Therefore, the MAM has very minimum integration with the surrounding environment which leads

to many manual steps and inefficient workflows.

For all the above reasons, replacement of this system is urgent and critical, hence this project. And

obviously data and metadata migration from the legacy system to the new one has is to be considered.

2. Acquisition of an Orchestration layer for workflows and tasks management

Today’s systems are often based on direct custom integrations of the different software applications.

As the landscape evolved over time this has led to applications taking over responsibility and tasks

outside of their intended core functional area. This makes maintaining and updating the system

landscape more and more complex, new software applications need to follow a different approach.

AV Unit intent is to change to a new concept of a more brick-based approach of pieces of solutions.

There the connections (the “mortar”) between systems is taken care of by the orchestration layer

whenever it makes more sense than implementing one-to-one integration directly between the

bricks.

This is long term approach to be implemented gradually. Acquisition of an orchestration solution is

this initial step to start decoupling these tight integrations.

3. Configuration and development of the improvement : In a later stage, there will be need of

configuration of workflows and integrations with the existing systems and with new ones. Foreseen

services in this regards are described later in the document.

Therefore, the new MAM and Orchestration solutions play an important part in the overall goal of

transforming the AV Unit’s systems landscape.
