Details: IFAD requires a Supplier to implement an EDRMS and Email Management plugin/add-on extension that integrates with IFAD’s SharePoint to manage electronic and physical records.
Objectives of the RFP: is to engage a Supplier(s) to implement an EDRMS plugin/extension/add-on that integrates seamlessly with Microsoft SharePoint to deliver Record Management functionalities and that manages the lifecycle of records from creation/receipt to final disposal/ long term retention. The RFP is comprised of two (2) lots:
1) Lot 1: EDRMS: The purpose of Lot 1 is to engage a Supplier for the detailed design, development, testing, migration, implementation support, post implementation support and training of IFAD staff for the Electronic Document and Records Management System plugin/extension/add-on. Lot 1 seeks a Supplier that has the capacity and knowledge to deliver the services and software as specified in Attachment 1 of this RFP. In addition and as an option Lot 1 seeks a Supplier that is able to support the appraisal of records prior to migration through the use of automated tools in order to carry out a selection of records to be moved without deleting the records from the old ERMS.
2) Lot 2: Email Management – The purpose of Lot 2 is to engage a Supplier for the supply, deployment support, implementation support, post implementation support and training of IFAD staff for the Email Management solution. Lot 2 seeks a Supplier that has the capacity and knowledge to deliver the services and software as specified in Attachment 1 of this RFP.
IFAD requires a comprehensive solution that addresses the requirements for Lot 1 and Lot 2. This may involve vendors seeking an implementing partner to ensure that the requirements of both Lots are addressed in a coherent and compatible single solution. However, IFAD reserves the right to award only a portion of the requirements and/or to award multiple contracts on the basis of the Lots. Moreover, IFAD prefers to have a solution and proposal covering both Lots considering Lot 1: EDRMS as a corporate priority.
