Background: It is anticipated that the ICC, will shortly be issuing a solicitation for the provision of Meeting Room Digital Equipment/Furniture. In this connection, the ICC is requesting expressions of interest from qualified firms.

Service Description: The Office of the Prosecutor (OTP) is tasked with the essential responsibility of investigating and prosecuting crimes against humanity, genocide, and war crimes, which requires the secure handling and expert evaluation of sensitive evidence. To fulfil its mandate, the OTP frequently engages with high-level delegations. In light of increasing diplomatic engagements and the growing need for secure and efficient collaboration, the OTP seeks to expand its current meeting room to accommodate larger delegations. This expansion involves procuring advanced technological equipment and furniture that will enable seamless, secure meetings while supporting OTP’s operational requirements. By creating a state-of-the-art meeting environment, the OTP will enhance its capacity to conduct confidential, high-level discussions, which are critical to the execution of its mandate.

Objectives:

•             Design a state-of-the-art meeting space to support secure, efficient, and seamless collaboration for in-room and remote participants.

•             Integrate advanced audio-visual systems, including:

o            Motorized or Manual monitors

o            AI-powered cameras

o            Beamforming microphones

o            Ceiling speakers

•             Ensure high-quality communication while maintaining a clutter-free environment.

•             Prioritize information security by incorporating:

o            Secure cable management

o            Network segmentation for data points

o            Encryption for all video conferencing streams to prevent unauthorized access.

•             Utilize a centralized, secure AV control system to allow authorized users to manage the technology efficiently.

•             Protect the integrity and confidentiality of audio, video, and data transmissions during critical meetings.

 The detailed scope of work will be given under the Request for Proposal document that will be sent to the firms who respond to this EOI.
