Description of the subject:  The subject of the call for tender is an Inter Institutional Multiple Framework service contract for the rental of a voting system with technical assistance for face-to-face, hybrid and remote meetings together with technical assistance.

It will be used:

• For the contracting authorities, plenary sessions –– a total of up to sixteen per year (9 EESC, 6-7 CoR) –– are scheduled evenly throughout the year, with the exception of August during which no session takes place.

• For other statutory meetings of the contracting authorities requiring voting facilities, such as CoR’s Commission meetings.

• For other exceptional events organised throughout the duration of the framework contract. Technical description of the tasks/supplies

The technical description of the tasks to be provided shall be considered as minimum requirements.

In the purpose of the present call for tender, the contractor shall provide the following tasks:

a) Provision of a voting system and technical assistance for meetings conducted entirely face-to-face (no remote participants)

b) Provision of a voting system and technical assistance for meetings conducted in hybrid mode (part of the participants present in a meeting room, part connected remotely via videoconference)

c) Provision of a voting system and technical assistance for meetings conducted in remote mode (all participants connected via videoconference, without using a meeting room)
